ClickTime’s Time Off Management Module includes the option to request time off in advance. These requests are reviewed by the employee’s designated Time Off Approver before being added to their timesheet.
For organizations not using the module, ClickTime also supports Approval Not Required Leave Types, which can be added directly to timesheets without going through the approval process (see below for details).
Approval Not Required Leave Types
Not all Leave Types require approval. If your organization has Leave Types that are set to Approval Not Required, you can log time directly to these from your timesheet without submitting a request.
- Available to all ClickTime accounts (no module required).
- Appear in the Leave Type dropdown on your timesheet.
- Hours are added immediately and do not go through an approval workflow.
This is often used for Leave Types like Jury Duty, Training, or other categories that do not require advance approval.
Requesting Time Off (Approval Required Leave Types)
To submit a Time Off Request, go to the Personal → Time Off page.
On this page, you’ll see:
- Balance as of Today – shows your current balance for each approval-required Leave Type. This balance reflects all past activity and may allow negative balances if you request more than you have accrued.
- Planned Time Off – displays any pending or approved requests for the future. Use the pencil icon to view details of an existing request.
To make a new request:
- Select a Leave Type from the dropdown (only Leave Types requiring approval will appear here).
- Choose a date range (up to 90 days per request).
- Enter the number of hours per day you’re requesting. Non-work days do not require entries.
- Add any optional notes to provide context to your approver.
- Click Submit to send the request to your Time Off Approver.
Your hours will not appear on your timesheet or deduct from your balance until the request is approved.
Request History
You can review requests at any time under Personal → Time Off → Request History.
The table includes:
- Date – date range of the request.
- Leave Type – requested category.
- Hours – total requested hours.
- Status – current status and last action (e.g., “Approved by Joe Smith on 6/07/17”).
- Details – pencil icon to open the full request detail page.
Use filters to sort by Leave Type, Status, or Time Frame.
Request Detail Page
Each request shows:
- Leave Type, date range, hours, notes, and submit date.
- Balance information for the Leave Type at the time of request.
- Status updates (approved, rejected, cancelled) and approver notes.
Canceling a Time Off Request
- Pending Requests: You may cancel at any time.
- Approved Requests: You may cancel only if the request is for a future date and the timesheet is still open.
Canceling removes the time entry and returns the hours to your balance immediately.
Summary
ClickTime makes it simple for employees to track and manage their time off. Depending on how your organization is set up, you may either:
- Log hours directly for Leave Types that do not require approval, available on all ClickTime accounts.
- Submit a request for Leave Types requiring approval, which will be reviewed by your designated Time Off Approver before being added to your timesheet.
From the Personal → Time Off page, you can review balances, plan upcoming time off, and track the status of your requests. Pending or approved requests can also be cancelled when eligible, ensuring your timesheets and balances remain accurate.
Whether your organization uses the full Time Off Management Module or relies on Approval Not Required Leave Types, ClickTime provides the tools to keep your time off organized, transparent, and easy to manage.
