To inactivate an employee in ClickTime, all their unsaved stopwatches need to be resolved first. ClickTime can't inactivate any account linked to an active or abandoned stopwatch. So, it's crucial to resolve these running or unsaved stopwatches before inactivation.
This guide outlines two methods for identifying and addressing any unresolved stopwatches.

Please note: To address unsaved stopwatches, you must either:
- Be a ClickTime as an "Administrator", or
- Use ClickTime as a Manager with multiple permissions. Specifically, you need the ability to:

- Run Reports
- Override Timesheets
- Add/Edit People
- You must have these permissions for "all people" in order to access the "Running and Unsaved Stopwatch report"

Running and Unsaved Stopwatches Report
ClickTime offers a report specifically tailored to help you identify employees with active or abandoned stopwatches within a given date range.
To view all ongoing or unsaved stopwatches in your account for a particular time period, navigate to the Company --> Reports page and expand the "Miscellaneous" section.
Click on "Running and Unsaved Stopwatches", then select "Run Report" from the pop-up that appears. On the Report page, choose your desired date range and click on "Run Report" once more.
ClickTime will display any employees with a running/unsaved stopwatch in the time period you specified. You can use the "Notify" icon to send a message to the employee.
Clicking the "Notify" icon will open up your email client to send a message to the employee with pre-filled text.
To adjust the time entry on your own, click on the date. This will direct you to the Timesheet Override page for that specific employee on the chosen day:
You should see a red stopwatch icon on the time entry page:
Hover your mouse over the icon and then choose whether you want to stop the stopwatch at 11:59 pm (the time when it automatically became unsaved), or if you want to enter another end time:
Alternatively, you can opt to delete the entire time entry row by using the trashcan icon. If the time entry is from a significant time ago, this might be the best course of action. Any time associated with unsaved stopwatches was not stored in our database and would not have been included in reports.
Remember to "Save" the changes. Afterward, proceed to correct any remaining unsaved stopwatches. Once all issues are resolved, you should be able to inactivate the user.
Inactivating an Employee with a Running or Unsaved Stopwatch
When you attempt to inactivate a person who has a running or unsaved stopwatch from the Company --> People page, also known as the People List View Page, the system will alert you about any running or unsaved stopwatches without providing detailed information.
You will receive a message similar to the one in the example below.
For a better understanding of the message, navigate to the Person Details page of the individual you are trying to inactivate. Click "Edit Section" in the Basic Information section and change the status to "Inactive". Upon clicking "Update", a pop-up message will appear, indicating any running or unsaved stopwatches. To access Timesheet Override for that person and day, click the date in the pop-up.
From there, you should then see a red stopwatch icon for the affected time entry.

Resolving a Running or Unsaved Stopwatch
In the event that any of your staff members utilizes the stopwatch feature and inadvertently forgets to halt it when the day concludes, that particular stopwatch entry will be labeled as "abandoned" or "unsaved". This terminology is used to denote that the time entry associated with the stopwatch is only partially completed and thus, has not been saved to the database.
To mitigate this risk and ensure accuracy in time tracking, ClickTime has implemented a notification system to alert each user about any active or abandoned stopwatches. The alert is conveniently placed at the top of the user interface, close to their name, to make it easily noticeable. This serves as a reminder for the user to either save or discard the stopwatch entry, thereby maintaining the integrity of their time data.
As you can see in the image below, users can click the date at any time to access the Day View page for that time entry.
Please encourage your staff to regularly check for these notifications and take the necessary actions. This will ensure that all their work time is accurately recorded and reflected in any reports or analyses drawn from the database.
