About the Integration
Our HiBob integrations allows you to keep Users up to date between systems. We currently support the following pre-built flows:
- User Provisioning from HiBob to ClickTime
- Users created and updated in HiBob will be created and updated in ClickTime
- ClickTime will send notifications for all new users created
- Changes to HiBob users fields that have been data mapped will be reflected in ClickTime
Which data will be synchronized?
The integration transfers a variety of employee attributes from HiBob to ClickTime. Please be sure to grant access to these attributes when setting up the integration. Changes made to user records in HiBob will override any changes made to the mapped user records in ClickTime.

Setting Up the Integration
To set up the integration, you will need to create a HiBob service user and then assign it to a permission group with access to the following attributes:
- Employee state (invited vs. uninvited)
- Employee internal status (active vs. inactive)
- Personal info (name, email)
- Work info (location)
1. Create a HiBob User
- Select Settings >> Integrations, and select Manage from the Services Users card
- Select New Service User
- Type in a descriptive Service User Name and Display Name, such as "ClickTime Service User"
- Select Next
- Separately copy both the ID and Token values displayed. Both of these values will need to be provided to ClickTime
2. Create Permission Groups to assign to the HiBob service user just created
- Select Settings >> Account >> Permission Groups
- Select Add Permission Group
- Assign a Group name, such as "ClickTime Integration Group"
- Under Group Members, select Select people by name, and then select Select people. From the list of people that appears, select the person that should perform the setup. This should be the service user you created in Section 1.
- From the Create group view, confirm your settings by selecting Create
- From the next screen you can define the data this user can access
- Select the People's data tab and select People from the Access rights list
- From the People section on the right, be sure that the following rights are checked:
- About >> View selected employees' About sections
- Basic Info >> View selected employee's Basic info sections
- Employment >> View selected employees' Employment sections
- User Data >> View selected employees' User data sections
- Work >> View selected employees' Work sections
- Work Contact Details >> View selected employees' Work contract details sections
- By selecting Access rights, you can select which employees should have a profile in ClickTime. Choose the ClickTime Service User created in Section 1.
- If all of your employees should be sent to ClickTime, just select Everyone
- If you want to exclude certain users (eg: contractors) from being synchronized with ClickTime, you can set up a condition to define the scope for the integration.
- To do so, select Select people by condition and define your rules for the group of people for whom a profile in ClickTime should be created.
- If you want to exclude contractors, for example, your rule would look as follows:
- Confirm your settings by selecting Apply
- Confirm your Permission group settings by selecting Save and then Apply
FAQ
- Q: Why did the integration not create a user profile for someone in ClickTime?
- A: Be sure the user's status in HiBob is set to 'Active'. If they have any other status, ClickTime will not create an account for them. If they are active, please double-check if the affected user would fall under any 'Exclusion rule' you may have set up in the settings of the Permission Group in HiBob. Lastly, ClickTime will not create a new profile for a user if the email address they use in HiBob is already taken by another ClickTime user. Select the Search icon in the upper left to quickly search an email address to see if it used on another profile
- Q: Can I delete user profiles through the HiBob integration?
- A: No. ClickTime will not delete any user profiles automatically. Instead, the integration will deactivate all profiles for users who are no longer active in HiBob.
