Getting started with the ClickTime Mobile App
ClickTime offers a mobile application that lets you enter time from your smartphone so you can track hours while you work.
You can download the app here:
- Download on the App Store (iOS)
- Get it on Google Play (Android)
To use the ClickTime Mobile App, you need an active ClickTime account and your Administrator must have created at least one Project (and usually one Client) for you to track time against.
If the ClickTime Mobile App is not available in your country or region, please contact us at support@clicktime.com. Our team can review options with you.
Logging in and SSO
When you open the app, you will see the login screen where you can sign in with your email and password or supported SSO options.
The mobile app does not support in-app password resets.
If your email address or password is not recognized, please log in to ClickTime on a desktop or laptop and follow the steps in this article to reset your password. Once you have updated your credentials, return to the mobile app and log in with the same email and password.
Save password functionality
For faster access, ClickTime supports the built-in password tools on iOS and Android. If you have saved your ClickTime credentials to your device password manager, they will automatically appear on the login screen so you can sign in quickly.
Single Sign-On (SSO)
The ClickTime Mobile App supports Single Sign-On (SSO) with providers such as Google, Microsoft Entra/Azure AD, Okta, OneLogin, and custom SSO configurations.
If you are not sure which method your organization uses, please check with your Administrator or IT / SSO team. You can also contact ClickTime Support at support@clicktime.com for guidance.
Important: Only use the Google or More Sign-In Options buttons on the login screen if your organization has configured an SSO method for you.
For more details on logging in and SSO, including common sign-in options and troubleshooting tips, see Logging into ClickTime.
Time entry methods
There are several ways to enter worked time using the ClickTime Mobile App:
- Manual time entry (numeric keypad)
- Stopwatch
- Start / End Times
- Recents
- Changing your preferred time entry format
Manual time entry
Start a new entry: Tap the light blue New Entry button at the bottom of your screen.
Select details: Choose a Client, Project, and Task (depending on your organization setup you may not see all three). Tip: These fields are searchable. Start typing to filter the list and find the option you need.
Add notes or custom field information (if applicable): Tap + Add Notes and More to add notes or enter values for any custom fields your organization uses, then tap Save.
Enter hours worked: Use the numeric keypad to enter the number of hours you worked.
Save or cancel: Tap Add in the upper-right corner to save the entry, or tap the X in the upper-left corner to cancel.
Stopwatch
The Stopwatch feature lets you track time in real time. It is useful when you want to log time as you work.
Key behavior:
- Stopwatches can only be started on today and stop automatically at midnight.
- The Stopwatch is an optional time entry method and is available only in the mobile app.
- If your organization requires all time to be entered via Stopwatch, you’ll need to use Day View in the web application at clicktime.com to meet that requirement.
- If you are required to enter Start / End Times, you must do so manually through the time entry screens (see Start / End Times).
- You can only run one stopwatch at a time, but you can create multiple stopwatch entries per day.
- The stopwatch only creates time for today. If you navigate to another date and start the stopwatch, it will return to today.
To begin using the Stopwatch, tap the Stopwatch button at the bottom of your screen.
Once you tap Stopwatch, the stopwatch begins running and you are taken to the stopwatch details screen.
While the stopwatch is running (or once you are done working), select the appropriate Client, Project, and Task.
If you want to return to other parts of the app while the stopwatch continues running, tap Hide in the top-left corner.
A blue banner appears at the top of the screen to show that the stopwatch is running in the background. You can pause or resume the stopwatch from this banner and tap it to return to the Stopwatch screen.
If you need to cancel and delete the entry, tap Clear Stopwatch below the timer.
To save the stopwatch entry, tap Pause, review the details, then tap Add.
The hours will round up or down according to your organization settings. A running stopwatch entry is not saved to ClickTime until you tap Add. Start and end times for stopwatch entries created on mobile are not visible when viewing time on the web.
Start / End Times
Note: To use Start / End Times, you may need to update your preferred time entry format.
Go to Menu > Settings > Preferred Time Entry Format and select Start / End Times.
Tap New Entry: Tap the light blue New Entry button at the bottom of your screen.
Select details: Choose a Client, Project, and Task. Tip: These fields are searchable — start typing to filter the list.
Set Start Time: Tap Start Time, select the appropriate time from the clock and tap the chosen time within the field.
Set End Time: The End Time will initially match the Start Time. Tap End Time, choose the correct time, then tap the chosen time within the field.
(Optional) Add a break: Tap Add Break Time to log any unpaid break during your shift, select the break length, and tap Save. The break duration is subtracted from the total hours.
Save or cancel: Tap Add in the upper-right corner to save your time entry, or tap the X to discard it.
Recents
The Recents feature lets you reuse information from your recent time entries so you do not have to manually select a Client, Project, and Task each time.
You can use Recents with Start / End Times or the numeric keypad format. Recents is not supported with the Stopwatch.
To use Recents, tap the Recents button in the bottom-left corner of your screen.
The Recents menu shows up to 10 of your most recently used Client, Project, and Task combinations. The most frequently used combinations appear at the top.
Select an option and the Client, Project, and Task fields will be filled in for you, then complete and save the entry as usual.
Changing the time entry format
Most organizations allow you to enter hours using one or more of the following formats:
- Numeric keypad (hours)
- Stopwatch
- Start / End Times
You can change your preferred time entry format by going to the main menu and tapping Settings.
Next, tap Preferred Time Entry Format, choose the format you prefer, then return to the Settings page to confirm your selection.
Editing entries
You can edit an existing entry as long as the timesheet has not been approved or locked and your time entry options have not changed since the entry was created.
To edit hours, find the day that contains the entry and tap it.
To edit the Client, Project, Task, or hours, tap into the field you want to change and select or enter the new value.
Tap Update to save your changes and return to the day view.
To delete a time entry, tap the trash can icon next to the hours field.
Viewing and submitting timesheets
To view your timesheets, open the main menu and tap Timesheets.
Timesheets are grouped by status, which you can choose at the top of the screen.
Tap a specific timesheet to see more information or make changes (if it is still open).
Tap the X in the top corner to return to the list of timesheets.
The Open tab indicates whether a timesheet is incomplete or overdue. To submit a timesheet, tap Submit Timesheet.
You will see the date range, total hours, and the name of your approver. You can enter an optional note and tap Submit.
You will see a confirmation message that the timesheet was submitted and it will move to the Pending section.
If you need to make a change to a pending timesheet, tap Undo Submission, then confirm to move it back to Open.
Approved timesheets appear in the Approved tab. You can tap them to see when they were approved and any notes from your approver.
Rejected timesheets show up in the Open tab with an indication that they were rejected.
Tap More to see who rejected the timesheet, when it was rejected, and any comments that were added.
Offline note: You cannot submit timesheets while in Offline Mode.
Mobile features
The ClickTime Mobile App includes a few additional features that help you work the way you want.
Offline Mode
Dark Mode
Opening the app from notifications
Offline Mode
For the best experience, we recommend using ClickTime Mobile while connected to Wi-Fi. Some mobile data connections may be too unstable to reliably sync your data with our servers.
The app does support Offline Mode, which allows you to log time without an internet connection. Entries created while offline are saved to your phone. When you reconnect to Wi-Fi or data, those entries automatically upload and sync with your ClickTime account on the web.
Using dark mode
ClickTime Mobile follows your device appearance settings. If your iOS or Android device is set to Dark Mode, ClickTime will automatically display in dark mode. No additional in-app configuration is needed.
Opening the app from notifications
When you tap links in actionable emails (such as approval requests or rejection notifications), the ClickTime Mobile App will open directly instead of opening in your mobile browser. This includes notifications for timesheets, expense submissions, and other items that require your attention.
