Percent Allocation allows users to plan and allocate work in Resource Management using a monthly percentage of capacity instead of entering hours directly. This provides a higher-level way to plan work while preserving the same underlying allocation and capacity logic used throughout Resource Management.
Important: Percent Allocation is a viewing and input mode only. Allocation values are still calculated and stored in hours behind the scenes. Availability may depend on a user's assigned permissions and access settings.
Quick Navigation
How Percent Allocation Works
Percent Allocation provides another way to view and enter allocations in Resource Management, including both the Resource Grid and Capacity Planning.
When this mode is enabled, allocation values are shown as a percentage of a person's available monthly capacity instead of hours.
With Percent Allocation enabled:
- Allocations can be entered as a percentage of monthly available capacity.
- 100% represents that person's full available working capacity for the month.
- Available capacity still accounts for time off, consistent with standard Resource Management behavior.
- Percent-based entries are converted to hours behind the scenes.
This allows managers to plan work in a more proportional way without changing the core allocation logic already used throughout Resource Management.
Whether users are planning in the Resource Grid or reviewing staffing distribution in Capacity Planning, Percent Allocation provides the same percentage-based view while continuing to rely on hour-based calculations in the background.
Turning on Percent Allocation
Percent Allocation can be enabled from the grid settings in supported Resource Management views.
This option is available in both the Resource Grid and Capacity Planning, allowing users to switch between hours and percentage-based allocation views in either workspace.
- Open Resource Management.
- Go to either the Resource Grid or Capacity Planning view.
- Open the relevant grid or display settings.
- Enable Percent Allocation.
When Percent Allocation is turned on:
- Allocation cells display percentages instead of hours in the supported Resource Management views.
- You can enter allocation values directly as percentages.
- You can switch back to hours at any time.
In Capacity Planning, this can make it easier to evaluate staffing levels across upcoming months using percentages of available capacity instead of manually converting hours.
Rounding Behavior
Percent-based allocations are converted to hours using the rounding rules already defined for the account in Company Preferences.
For example:
- 20% of 126 available hours equals 25.2 hours.
- The stored allocation value is then rounded according to the company's configured settings.
Depending on the account setup, this may result in values such as:
- 25 hours when rounding to whole hours
- 25.2 hours when rounding to tenths of an hour
Although users may be viewing and entering percentages, the underlying stored allocation value remains hour-based.
What Does Not Change
Percent Allocation changes how allocation values are displayed and entered, but it does not change other areas of the product.
Percent Allocation does not change:
- People modals
- Resource Management reports
- Time entry pills
These areas continue to reflect the standard hour-based behavior and display.
What This Enables
Percent Allocation supports higher-level monthly planning by allowing managers to work in proportions rather than calculating hours manually.
For example, managers can use Percent Allocation to:
- Block out time at a high level before refining details later.
- Plan work across months using percentage-based capacity.
- Communicate staffing distribution in more intuitive terms.
This can be especially useful during early planning stages, when exact hourly assignments may still be flexible.
Permissions and Access
Percent Allocation is part of Resource Management, and availability may depend on a user's assigned permissions and access settings.
Depending on a user's access, they may be able to view Resource Management information without being able to edit allocations or change display settings.
If some settings or controls are unavailable, check the user's Resource Management and related permission assignments.
