The Expense Export (Beta) report allows you to find, filter, and export expense data in multiple formats. Unlike summary reports, this export is highly customizable and includes options to download receipts. It’s a powerful tool for administrators and finance teams who need detailed expense information for accounting or analysis.
⚠️ Important:
- The Expenses Module is an add-on feature and not included in standard ClickTime plans.
- Access to this report requires Administrator permissions.
- This report is currently in beta. If you encounter unexpected results, please reach out to ClickTime Support (support@clicktime.com) with details. Your feedback helps improve the report before it leaves beta.
Accessing the Report
- Go to Company → Reports.
- Scroll to the Expenses section.
- Select Expense Export (Beta).
Filtering Options
At the top of the report, you’ll see filters to help narrow down results:
- Date Range – Limit expenses by specific start and end dates.
- People / Divisions / Employment Types – Include only selected groups.
- Projects / Clients – Export expenses tied to specific work.
- Expense Types / Payment Types – Focus on particular categories.
- 💡 Tip: Use filters first to minimize manual selection later.
Columns Menu
The Columns menu lets you control which fields appear in your export. For example, you can include:
- Person name
- Client and project
- Expense type and payment type
- Date and amount
- Notes or comments
This ensures you only export the data that matters to your workflow.
Selecting Expenses
- Each expense item appears as a row in the report.
- Check the boxes to select individual items.
- Use the header row checkbox to select all results that match your filters.
Export Options
Once you’ve applied filters and selected rows, click Export:
- Excel (.xlsx)
- CSV (.csv)
- Tab-Separated (.txt)
This gives you flexibility depending on whether you need analysis (Excel), import to another system (CSV), or raw text (tab-separated).
Exporting Receipts
You can download all receipts associated with the selected expense items in a single PDF file:
- Click Receipts to PDF.
- A single document will generate, containing all uploaded receipts.
Best Practices
- Filter first: Narrow down your dataset before exporting to save time.
- Use column customization: Include only fields your accounting team needs.
- Combine with other reports: Use Expense Summary or Project/Person reports for quick insights, then export with this tool for detailed follow-up.
