Tip: Customizing the Resource Management grid helps you focus on the people and projects that matter most. By saving views and using filters, you can quickly surface risks, reduce clutter, and streamline recurring reviews.
The Resource Management (RM) grid is the central workspace for monthly project and capacity planning. It shows projects, people, budgets, allocations, and worked hours in a flexible table. Customizing the grid helps you focus on what matters most and save reusable views for ongoing reviews.
Month Selector
At the top of the grid, select the month you want to view:
- Single Month: The grid displays one month at a time. Use arrows or the date picker to move forward or backward.
Note: To view multiple months, use Capacity View (3- or 6-month options).
Quick Views/Preset Views
Quick Views/Preset Views are preset filters that highlight common needs:
- Overallocated people: Employees allocated beyond their capacity.
- People with unallocated hours: Employees who still have hours left to assign.
- People with unmet billing goals: Employees whose allocations don’t yet meet their billing targets.
- Under allocated projects: Projects that have unallocated budget funds for the month.
- Overallocated projects: Projects that have exceeded their monthly budget in allocations.
Quick Views/Preset Views surface immediate risks without manual configuration. You can also use a Quick View/Preset View as a base, modify it under the Filters & Settings area and then save the adjusted view as a Custom View.
Sorting Options
You can sort directly in the grid:
- People: by Name, Role, or Unallocated Hours.
- Projects: by Client, Project Name, Monthly Budget, Budget Left to Work, or % of Budget Worked.
Sorting highlights risks such as overloaded employees or projects close to budget limits.
Filters and Settings
Filters and Settings control which people and projects display:
Custom Field Filters: Project and Person custom fields can also be used as filters in Resource Management.
When a custom field is enabled as Filterable within Resource Management, it appears in the corresponding People or Projects filter window.
Selecting a value updates the grid and totals in real time. Multiple custom field filters can be applied at the same time.

People Filter: Show all or specific employees. When clicking "Specific" you can select individual employees via the checkbox to the left of their name. Additionally, the pop-up window gives you the ability to search and sort via a variety of fields + include inactive people if needed:
- Use the checkbox "Only show people with data" to limit the grid to only show people with worked/allocated hours.
- Under the Show drop-down, you can shift the data displayed over each person on the grid to
- % of Billing Goal Worked: What percentage of their Billing Goal is worked.
- Unallocated Hours: The amount of hours left for that individual that can be allocated for the selected month.
- Billing Goal (hrs) Left to Allocate: Based on the individual's Billing Goal, how many hours are left to allocate.
Project Filter: Show all or specific projects. When clicking "Specific" you can select individual projects via the checkbox to the left of their name. Additionally, the pop-up window gives you the ability to search and sort via a variety of fields + include inactive projects if needed:
- Use the checkbox "Only show projects with data" to limit the grid to only show projects with worked hours/allocated hours/monthly budget.
- Under the Show drop-down, you can shift the data displayed over each person on the grid to:
- Unallocated Budget: The amount of budget left to allocate for (very helpful when starting the planning process for a fresh month).
- Budget Left to Work: How much remains of the budget based on worked time.
- % of Budget Worked: The % of budget that has been worked.
- Lifetime Budget: The Lifetime Budget of the project.
Grid Settings
Additional display options:
- Roles: Show employee roles next to names.
- Totals: Show monthly totals in the grid.
- Worked Time: Compare actual logged hours against allocations.
Quick Filters
If you need to quickly filter to a specific Person or Project, click on the name of that Person or Project and select "Quick Filter" at the bottom of the pop-up window.
Availability-Based Filtering
If your company uses Moderate or Maximum Project List Controls this will affect how Managers/Administrators interact with the grid when entering Allocations.
If an individual does not have access to a specific project, a lock symbol will appear within Allocated cell for that person/project.
If a Manager or Administrator would like to remove the lock cells from their view, they can select the "Show only programs for a selected people" option, nested in the project Filter & Settings area. With this enabled, we will only see the projects the people we have selected can actually log worked time against.
Custom Views
After configuring filters, sorts, and display options, you can save views for reuse. Views can be shared with other RM enabled users and the table below describes what actions are available to a user based on the type of view they are looking at:

Saving a Custom View:
Once you have selected the Filter & Settings options for your Custom View, you can save it following the steps in the screenshot below:
Once the View is saved, you will see you can now access other View Actions for this View:
Saving Edits to Previously Saved Custom View:
To save an already existing Custom View, it is required that at least one edit is performed to the view. If this is not done, you will notice the icon is not able to be clicked and is a lighter blue, seen here:
Once an edit is made, you will notice the name of the View will show "(Unsaved)" and the save icon will be available to select, seen here:
Sharing a Custom View:
To share a Custom View, click the share icon and then type the name of the individual you wish to share it to. Select their and any other names using these steps and then click Save Selections, seen here:
Copying a Custom View:
To copy a Custom View, click the copy icon and then type the name of the new view, seen here:
Renaming a Custom View:
To rename your already saved Custom View, click the rename icon, seen here:
Deleting a Custom View:
To delete a Custom View, click the delete icon, review the warning message displayed and click the delete option if you wish to proceed, seen here:
Ownership of Custom Views:
Generally the person who creates a Custom View remains the owner of it, with one exception. If that person becomes inactive in the system, the ownership of their Custom Views is transferred to the first administrator in the organization's account instance (in alphabetical order).
Any time a View is selected in RM, a small pop-up at the bottom of the screen will be present:
You can quickly clear filters if needed via the "Clear filters" selection. You can also "Dismiss' the view temporarily if needed (Please note: this pop-up will come back any time the current view is adjusted).
Views carry between the RM Grid, Dashboard and Capacity View so that RM users can quickly assess the same information under each major function of Resource Management.
