Allocation-Specific View allows Resource Management users to plan and allocate work without displaying financial information. When this view is active, cost and billing-related data is hidden while allocation and capacity planning features remain available.
Important: Allocation-Specific View may be applied automatically based on a user's permissions, or it can be enabled manually by users who have access to financial data. When active, financial columns, financial controls, and other finance-related areas of Resource Management are hidden.
Quick Navigation
How Allocation-Specific View Works
Allocation-Specific View is designed for planning work in Resource Management without exposing sensitive financial information.
This view can apply in one of two ways:
- Automatically, based on permissions: If a user has access to Resource Management but does not have permission to view financial information, Resource Management may display in Allocation-Specific View.
- Manually, using the toggle: Users who do have permission to view financial information can temporarily switch into Allocation-Specific View from the Filters & Settings menu.
When Allocation-Specific View is active:
- Financial columns are hidden from the Resource Grid.
- Cost and billing values are removed from view.
- Financial controls in the Show dropdown are disabled.
- The Resource Management dashboard may not be accessible.
- Reports containing financial information may be unavailable from the Reports menu.
Core Resource Management functionality remains available. Users can still:
- Allocate hours normally.
- View capacity calculations.
- Create and apply Quick Views.
Using the Allocation-Specific Toggle
Users who have permission to view financial data can manually enable Allocation-Specific View using the toggle in the Filters & Settings menu.
- Open Resource Management.
- Click Filters & Settings.
- Under the Projects section, locate the Display financial information toggle.
- Turn the toggle off to switch into Allocation-Specific View.
When the toggle is turned off:
- Financial columns are hidden.
- Financial grid options are disabled.
- The view is limited to allocation and planning information only.
Users can turn the toggle back on at any time to restore financial visibility, as long as their permissions allow access to that information.
Quick Views and Saved Settings
Quick Views respect each user's financial visibility.
- Financial columns are not shown to restricted users, even in shared Quick Views.
- Non-financial filters and layout settings are preserved.
- Loading a Quick View restores allocation and filter settings only.
This means users can continue using shared views for planning purposes without exposing cost or billing data.
Permissions and Access
Access to Resource Management has been updated to provide more granular control over what users can see.
Permissions Update: Allocations Access
Within Manager permissions, the previous permission labeled Allocations and Budgets has been simplified to Allocations.
Granting access to Allocations no longer automatically gives a user visibility into Billing Rates or Cost Rates.
This allows administrators to:
- Grant access to Resource Management for planning and allocation purposes.
- Restrict visibility into billing and cost rate data.
- Provide allocation-focused access without exposing financial information.
As a result, managers and team leads can use Resource Management for allocation planning and capacity management while sensitive financial data remains hidden.
