Timesheet View lets you review everything entered on Day View and/or Week View, confirm totals, and submit the period for approval. This guide also shows what blocks submission and how to fix it, how to print/save a PDF, and how to see your submission/approval history.
This article is for employees reviewing and submitting their own timesheets in ClickTime, and explains how to check totals, understand statuses, resolve submission blockers, and print or save a copy for your records.

Navigating to Timesheet View
- Log in to ClickTime.
- Select Timesheet View from the navigation.
- Managers/Admins entering their own time: Personal → Timesheet View.
Page Overview
The header shows your name and (optionally) Employment Type and Division (shows “No Division Specified” if Divisions are not used), the current timesheet period, and the status. Use arrows or the calendar to switch periods. Click History to see submission/approval events. If configured, you’ll also see your Incomplete Time Entry requirement and Default Approver.
Working with the Grid
The grid summarizes your time by Client → Project → Task across the period. Totals appear at the bottom right. Click a date label at the top to jump to Day View for that day.
- Expand/collapse rows: Use the arrows next to Client/Project to drill into Projects and Tasks.

Expand All / Collapse All: Toggle everything at once.

Open Day View: Click any date label at the top of the grid.

Notes panel: When entries have notes, you’ll see letter markers (A, B, C…). Drag the bottom splitter up to reveal the notes panel.
- Search: Use the page search field to find specific text in the grid.
Timesheet Statuses
- Open – You can edit/add time (in Day/Week View).
- Waiting for Approval – Submitted; entries are read-only.
- Approved – Finalized; entries are locked.
- Rejected – Returned by an approver; edit and resubmit.
- Locked/Closed – Period is closed by your organization.
Submitting Your Timesheet
If your organization uses Timesheet Approvals and you have a Default Approver, use Submit for Approval (top-right) to send the entire period to your approver.
In the submission dialog, you can add a note to your approver, CC teammates, and opt in to a confirmation email when your timesheet is approved (you’ll always receive a rejection email if rejected).
After submitting, status changes to Waiting for Approval. If you need to make changes and the approver hasn’t acted yet, click Undo Submission to return to Open, edit in Day/Week View, and submit again.
Note: Undo Submission is available only while the timesheet is still Waiting for Approval.
What Blocks Submission (and Fixes)
If Submit is disabled or you see an error banner, check the following:

| Incomplete Hours | You haven’t met a daily/weekly minimum (e.g., “You have completed 7.0 of 8.0 required hours for this day”). | Add missing hours in Day or Week View until complete. |
| Required Notes / Custom Fields | A required field is missing (highlighted in red on entry pages). | Open the entry in Day/Week View and fill in the required values. |
| Running / Abandoned Stopwatches | Active or auto-stopped timers need resolution. | Stop/resolve on Day View. (Abandoned timers auto-stop at midnight PT but must be acknowledged/edited.) |
| Approval-Required Time Off | Pending Time Off must be approved to appear on your timesheet. | Request via Personal → Time Off and wait for approval. |
| Overtime Models (if enabled) | Your org’s OT model may enforce daily/weekly totals before submission. | Align your hours with the expected model (Weekly/Biweekly/Semi-Monthly). |
| Locked Period | The period is closed and read-only. | Ask your admin to reopen the period if changes are needed. |

History
Click History at the top to view when the timesheet was submitted, rejected, or approved, and by whom.
Options & Printing
Use Options to show/hide Person Details (Division, Employment Type, Incomplete Time Entry rule, Default Approver), and to show/hide Client and Task names on the page. Choose whether Notes, Custom Fields, and Start/End times appear on the printed report.
Click Print (top-right) to generate a PDF you can save or print. Submission/approval stamps appear at the bottom; notes and Start/End times print on subsequent pages.

Use More timesheets to open My Reports → Horizontal Timesheet for an expandable Client/Project/Task view and printing.

Troubleshooting
- Submit button missing: Approvals may be disabled, or no default approver is set.
- Submit disabled: Resolve blockers above (incomplete hours, required fields, stopwatches, etc.).
- Need to edit? Click a date in the grid to open Day View, or use Week View for bulk edits.
- Read-only entries: The period is locked or access has changed; contact your admin.
