List View pages are where Admins and Managers review, search, sort, and manage People, Employment Types, Divisions, Clients, Projects, and Tasks. Think of these as day‑to‑day control boards for data maintenance (for global behavior, see Company > Preferences).
Summary: Use common controls to filter by Active/Inactive, show/hide columns, sort, search, select rows, and run bulk actions (activate/inactivate). People‑only: resend Welcome Email, change Approvers. Clients/Projects‑only: duplicate records. Export any list to Excel.
Access: Administrators have full access. Managers can act on items they have permission to manage.

Common controls (all List Views)
Sort
Click a column header to sort ascending/descending. The sorted column shows an arrow.
Columns
Select Columns to add/remove fields. Use Restore Column Defaults to reset. Available fields vary by list (People, Employment Types, Clients, Projects, Tasks).
Active / Inactive
Show Active, Inactive, or Active and Inactive. Include Inactive when reactivating items.
Search
Use the search bar to filter results by text.
Rows per page
Choose 50, 100, or 200 rows. Navigate pages from the footer.
Bulk activate / inactivate (all)
These bulk actions are available on People, Employment Types, Clients, Projects, and Tasks.
- Set Show to include the status you need to change (e.g., select Inactive to reactivate).
- Select one or more rows, then choose Actions > Mark as Active or Mark as Inactive.
- Confirm the update message and verify the new status in the grid.
Note (Clients & Projects): Reactivating a Client does not automatically reactivate its Projects. Use the Projects list to bulk‑reactivate the specific Projects you need.
People quick actions (specific to People)
Resend Welcome Email (never signed in)
On Company > People, set Show to Active and Never Signed In. Select employees and choose Actions > Send Welcome Email.
Already signed in? Use “Forgot your Password” or Send Reset Password from Person Details.
Change Approvers in bulk
Add Approver columns via Columns, select people, then choose Actions > Change Timesheet Approver to… (or Expenses / Time Off). Pick the new approver and confirm.
Division note: If a manager doesn’t appear, check their Person Details > Security and Permissions and Division access.
Clients & Projects (duplicate)
Click the + icon on Client or Project lists to duplicate, then rename and choose what to carry over.
Duplicate a Client
- Go to Company > Clients, select the Client row, then click the + (duplicate) icon.
- Name the new Client.
- Under Also copy, choose what to bring over (Client‑specific options below), then confirm.
When duplicating a Client, you can also copy:
- Active Projects under the Client — Only active Projects are duplicated. Inactive Projects are not copied.
- Client Billing Rates — Copies rate settings tied to the Client (availability depends on your Billing Rate Model).
- Client Custom Fields — Copies values for any Custom Fields defined at the Client level.
Tip: After duplicating a Client, review the copied Projects for dates, availability, approvers, and status before reopening for time entry.
Duplicate a Project
- Go to Company > Projects, select the Project row, then click the + (duplicate) icon.
- Name the new Project and choose the destination Client (same or different).
- Under Also copy, choose what to bring over (Project‑specific options below), then confirm.
When duplicating a Project, you can also copy:
- Project Billing Rates — Copies the Project‑level rate settings (availability depends on your Billing Rate Model).
- Project Custom Fields — Copies values for any Custom Fields defined at the Project level.
- Project Availability — Copies who can log time to the Project (if enabled).
- Task Availability — Copies which Tasks are available to the Project (if enabled).
Recommended columns by object
Turn these on from Columns to speed up audits and bulk updates. Availability can vary by account settings.
- People: Email, Employment Type, Division, Timesheet Approver, Expenses Approver, Time Off Approver, Last Sign‑In, Status
- Employment Types: Code, Default Cost/Billing (if used), Overtime Eligibility (if relevant), Status
- Clients: Client Code, Billing Rates (if used), Status
- Projects: Client, Project Code, Manager/Lead (if used), Billing Rates (if used), Availability (if enabled), Status
- Tasks: Task Code, Billable?, Availability (if enabled), Status
Export to Excel
Export to Excel downloads exactly what you see—current filters and visible columns are respected.
Troubleshooting
- Can’t find someone to reactivate. Include Inactive in the status filter, then search by name or email.
- Manager missing from Approver dropdown. They may lack permissions for selected people/Divisions. Check Security and Permissions.
- Welcome Email is grayed out. The person has already logged in. Use Forgot your Password or Send Reset Password from Person Details.
- Duplicated Client didn’t include some Projects. Only active Projects are copied.
- Export is missing a field. Add the field via Columns first, then export again.
Summary & Best practices
- Set columns first: Show Approver, Availability, and Custom Field columns before doing audits or exports.
- Use status filters: Switch to Inactive when reactivating; switch back to avoid clutter.
- Make changes in bulk: Select multiple rows to activate/inactivate or change Approvers (People).
- Duplicate with intent: Prefer duplicating a Project for one‑off variations; duplicate a Client when you need to replicate a client with its active projects and core settings.
- Review after copy: When duplicating, double‑check dates, availability, rates, approvers, and status before opening for time entry.
- Mind permissions: If an approver isn’t available in a dropdown, verify their Division access and approval rights.
- Export last: Once your filters and columns are set, export to capture exactly what you see.
