The Labels feature lets you mark time and expense entries (for example, when they have been exported) so you can avoid duplicates and reconcile your data more easily.
Summary: Define one or more labels (such as Export Time Entry or Exported) in Company > Preferences > Labels, then apply them when exporting or reviewing time and expense data. Labels help you see which entries have already been processed and support cleaner reporting and reconciliation.
Where to find it: Go to Company > Preferences, then choose the Labels tab.
Jump to a section:
What are Labels?
Labels are short tags that can be attached to time and expense entries. In most accounts, they are used to identify entries that have already been exported or processed. This helps you:
- Prevent exporting the same entries more than once.
- Filter or group exported entries in reports.
- Quickly confirm which entries still need to be processed.
Create and edit labels
Administrators can add or update label names from the Labels tab.
- Go to Company > Preferences and choose Labels.
- To add a label, click new label, enter a label name (for example, Export Time Entry or Exported), and save.
- To edit an existing label, click the pencil icon next to it, update the name or status, and save.
Status: Set labels to active when they should be available for use. You can inactivate labels you no longer need while keeping historical data intact.
Using labels with exports
Labels are typically applied when you export time or expense data. The exact steps can vary by report or integration, but the general flow is:
- Run the export or open the report that includes the entries you want to process.
- Select the time or expense entries you are exporting.
- Choose the appropriate label (for example, Exported).
- Apply the label when you complete the export so those entries are marked for future reference.
Next time you run the export, you can filter out entries that already have the export label so you only process new items.
Video: Using Labels
The following video walks through an example of using Labels to track exported entries. The user interface in the video is legacy, but the concepts and workflow are still helpful.
