In this article we will discuss what permissions are needed to access Report Studio and the two types of user that can access it.
To review:
- Viewers: Report Studio Viewers can open existing reports-built by ClickTime, or shared with them. They are not able to make edits to reports, or create reports from scratch. Users only can view data that they already have permission to access. Meaning, if a manager is limited to only view people in certain divisions, or only view projects that they manage, Report Studio will only display that data.
- Designers: Report Studio Designers can view existing reports, create new reports, and make changes to reports they have permission to edit. To be an Designer, requires a Designer license. These are available to both Managers and Administrators but not Standard users. For customers on a Premier plan, two Designer licenses are included in this package.
Viewers
Any Manager (with the "Run company reports" permission) or Administrator can be viewers of Report Studio reports. Below, we will define the nuance between the two user types.
Regarding Managers:
If we want a Manager to be able to view reports, we will need to make sure they have overall reporting access in ClickTime. By navigating under Company >> People and editing the Manager, we can enable this under Security & Permissions.
The manager will need to have the "Run company reports" box checked:
With this one permission selected, this Manager will have view access to any Report Studio report that is shared with them. They will not be able to see existing reports that are unshared or be able to create/edit new/existing reports.
Regarding Administrators:
By default, Administrators have full access to ClickTime reports and thus, have default view access to any Report Studio report that is shared with them. They will not be able to see existing reports that are unshared or be able to create/edit new/existing reports.
Designers
If a ClickTime Manager/Administrator is a Designer, they can:
- Create new reports
- Edit existing reports
- Share existing reports
For reports that have been shared with them:
- If they were given "View" access to the report, they can view and make a copy of the report if they wish
- If they were given "Edit" access to the report, they can view, edit and make a copy of the report if they wish
Regarding Managers:
If we want to assign the Designer permission to a Manager, we will need make sure they have access to overall ClickTime Reporting + the Report Studio specific permission. By navigating under Company >> People and editing the user in question, we can adjust this under the Security & Permissions section.
The Manager will need to have the "Run company reports" box checked, as well as "Create & Edit Report Studio reports":
Regarding Administrators:
Although Administrators have view access by default, we do need to make an additional selection to make them a Designer in Report Studio. By navigating under Company >> People and editing the user in question, we can make this selection under the Security & Permissions section, seen here:
