ClickTime's Report Studio uses filters to help you quickly pinpoint the data you need within your reports. Filters work by letting you define rules that include or exclude data based on your report's key components: attributes (such as Employee, Client, and Date) and metrics (like Total Hours and Billable Amount). When you apply a filter, Report Studio adjusts the view to display only the data that matches your specified conditions, making it easier to analyze specific segments and identify important trends.
Common Ways to Use Filters:
- Filtering by Time Period: You might want to see data for a specific week, month, or custom date range. You can use a filter on the "Date" attribute to achieve this. For example, you could filter to show only time entries from the "Last 30 Days" or a specific "Date Range."
- Filtering by Employee: If you need to analyze individual performance, you can filter your report by the "Employee" attribute to view data for one or more specific team members.
- Filtering by Client or Project: To understand profitability or time spent on specific engagements, you can filter by the "Client" or "Project" attributes.
- Filtering by Metric Values: You can also filter based on the values of your metrics. For example, you might want to see all employees who have logged more than a certain number of "Billable Hours" in a given period.
Applying Filters in Report Studio:
To focus your report data, you'll use the Filters panel, which is accessible as a separate tab within the Editor Panel.
Adding Filters:
There are two main ways to add filters:
- Drag and Drop: Simply drag any Attribute or Metric from the Dataset List (on the left) directly into the Filters panel. You can drag multiple items to apply several filters.
- Add Filters Option: Within the Filters panel, click the ellipsis (three dots) icon and select Add Filters. This will open a search interface where you can find and select the specific Attributes and/or Metrics you want to filter.
Configuring Filter Options:
Once an Attribute or Metric is added to the Filters panel, you'll see another ellipsis icon appear next to its name. Clicking this icon reveals additional configuration options specific to the type of data you're filtering:
Attribute Filters:
- Select Targets: While filters in Report Studio work independently by default, the Select Targets option allows you to link filters together to create a more dynamic filtering experience. For example, selecting a Client filter won’t automatically narrow down your Project filter—unless you set the Client filter to target the Project filter. When you use Select Targets, Report Studio will automatically adjust the available options in the targeted filter (like Project) based on your selection in the primary filter (like Client), making it easier to drill down into relevant data.
-
Display Style:
- Check Boxes: Ideal for selecting multiple specific values.
- Search Box: Allows users to type and search for specific values.
- Drop-down: Presents a list of values for single selection.
-
Calendar (for Date Attributes):
The Calendar filter provides an intuitive interface for selecting specific date ranges when working with date attributes in Report Studio. By default, the range spans from January 1, 2000 to December 31, 2050, but you can easily adjust the range by:
- Manually entering the desired start and end dates, or
- Clicking the calendar icon to choose dates from a visual calendar.
You can also enable the Dynamic Date option to filter data based on relative time periods—such as “Last 7 Days” or “Next Month.” Dynamic date filters are available in both Edit and View modes and allow reports to update automatically based on the current date.
Other Filter options include:
- Include or Exclude
- Unset Filter
- Filter by Rank
- Delete
Metric Filters:
-
Display Style: The available options are:
- Slider: Allows users to select a range of values using a slider.
- Qualification: Enables you to define specific conditions (e.g., "greater than," "less than," "equal to") and enter the desired values.
Other Filter options include:
- Include or Exclude
- Unset Filter
- Qualify on Value or Rank
- Delete
Applying the Filter:
After configuring your filter options and entering any necessary values, the filter will automatically be applied to your report, and the visualization will update to show only the data that meets your defined criteria.
