Use this guide to review, approve, reject, or reopen employee timesheets. Approvals can happen one-by-one in Timesheet View or in bulk from Company → Timesheets. Approved timesheets are locked until you use Undo Approval (reopen for review) or Reject (send back for edits).

Approver notifications

Email: The employee’s Default Approver receives a submission email with a Review Timesheet link.

Approval Inbox (Dashboard): Default Approvers also see pending items on Company → Dashboard in the Approval Inbox. Admins see all items. Managers see items only if they have the relevant permissions and are actually assigned as approvers for those items.
Scoped Managers who are not the Default Approver do not receive the submission email or Dashboard card, but they can still approve from Company → Timesheets based on their scope.
Approve from Timesheet View (individual)
- Go to Company → Timesheets and click the edit pencil to open Timesheet View.
- Expand rows to inspect Client/Project/Task, hours, Start/End/Break, notes, and custom fields.
- Click Approve. Optionally add a comment in the dialog; the employee may opt to receive an approval confirmation.
Notes: Hover the blue bar on a row to preview its note. You can also drag up the bottom notes tray to review all timesheet notes at once.
Approve from Company → Timesheets (list)
- Open Company → Timesheets and filter by period, status, people, and division as needed.
- Review the Complete column (if enabled) to confirm minimum hour rules are met.
- Select one or more timesheets and click Approve. Optionally include a comment in the dialog.
You can also bulk approve/reject directly in the Approval Inbox on the Dashboard; it supports row selection and the same confirmation dialogs.
Bulk approvals
- In Company → Timesheets, apply filters to narrow results.
- Use the header checkbox to Select All visible rows or choose specific rows.
- Click Approve (or Reject) and confirm in the dialog.
Undo Approval (reopen)
- Change the Status filter to Approved/Locked.
- Select one or more timesheets and choose Undo Approval.
- Enter the required comment and confirm.
- The timesheet moves to Waiting for Approval (still locked). To make changes, either Reject the timesheet or use Undo Submission from Timesheet View.
Rejecting timesheets
When a timesheet needs changes, choose Reject and enter a required comment. The employee is emailed and the timesheet becomes editable for resubmission. This can be done from Waiting for Approval or after reopening an Approved timesheet.
Notes & attestation (context)
During submission, employees can optionally CC others and request an approval confirmation email. If Timesheet Attestation is enabled, your custom statement appears to employees at submission. For full status definitions, see Timesheet Approvals — Overview.
Admins (Premier/Enterprise): After selecting Approved timesheets, you may see Adjust Salaried Costs if the $ icon appears for those employees. Use this to apply salaried cost rates to approved hours—see the Salaried Costs guide.
Tips & troubleshooting
- Can’t approve from the list: Completeness rules may not be met. Open the timesheet to review details or ask the employee to complete required hours/notes.
- Missing timesheet or person: Check filters (date/status), your division scope, and whether the employee has entries for the period.
- Accidental approval: Use Undo Approval to reopen immediately.
- Prefer making the edit yourself: Use Override Timesheets to adjust on behalf of the employee (permissions required).
- Don’t see the Approval Inbox: You may not have the required permissions or approver roles. Ask an Admin to review your Security & Permissions.
