Adding & Inviting People shows Administrators how to create a new person, set essential options, and send a Welcome Email so they can sign in.
Who can do this: Administrators (and Managers with People permissions). Some options may depend on your plan and enabled modules.

Add a Person (required fields)
- Go to Company → People, then click + Add Person.
- Enter Full Name and Email (must be unique and able to receive mail).
- (Optional) Leave Send Welcome Email checked to invite them immediately.
- Click Save / Finish (or Next if other information is required).
Optional basics to set now
You can set these on creation or later from the Person Details page:
- Start/End Date — Limits when the person can enter/submit time (and when approvers can review). Useful for joiners/leavers.
- Division — Assign if you limit manager access, use Division-based Project visibility, or simply want to assign this person to a team for data/reporting purposes.
- Employment Type — Feeds Time Off eligibility and Overtime rules. (See Employment Types.)
- Default Task — Preselects a common task for faster entry (and can act as a placeholder if Tasks are hidden).
- Status — Only Active people can sign in and enter time/expenses.

Accounting Package Person ID — For accounting/export integrations.
Send or re-send the Welcome Email
If you didn’t send the Welcome Email/sign-in instructions, you can re-send anytime from:

Person Details → Actions: Send Welcome Email (shows only for active users who haven’t logged in).

Company → People: Use List View bulk actions to re-send to one or multiple users. Filter for Active & Never Signed In.
What to do next
- Set their Security Level and (if Manager) permissions: Security Levels & Manager Permissions.
- If you scope Project visibility, choose their Project access (Maximum project controls only): Project Availability.
- Configure Time Off balances / approvers if applicable: Time Off Balances.
- Enter Cost / set Billing Rates (depending on model): Cost Rates • Billing Rates.
Troubleshooting
- Can’t inactivate or delete — Users with pending approvals, running/unsaved stopwatches, or historical data may need timesheets unlocked/rejected or to be inactivated instead of deleted.
- No Welcome Email received — Confirm email is unique/valid and check spam; re-send from Person Details or People List.
- They can’t log time — Check Status (Active), Start/End Date window, and Security Level.
