Report Studio data is refreshed automatically each night. If your organization needs updated reporting sooner (for example, after making changes in ClickTime), you can now use a manual, on-demand refresh option to update your company’s Report Studio data whenever you need it.
Summary: If enabled for your organization, Admins and Managers with Report Studio access can use Refresh Data to trigger an on-demand refresh and bring Report Studio up to date sooner.

Who Can Use Manual Refresh?
Admins and Managers who have access to Report Studio will see a Refresh Data button in Report Studio, along with an indicator showing how recently the data was synced.
If you’re not sure whether this feature is enabled for your account, please contact your ClickTime Administrator.
Access Report Studio
If you have been given Viewer or Designer access to Report Studio, you’ll find it in the Report Center. Navigate to Company > Reports, then click Open Report Studio.
How to Refresh Your Report Studio Data
Refreshing data updates reporting for your entire company, so other users may also see a refresh in progress while it runs.

Open Report Studio.

Review the freshness message (for example, Last synced 7 hours 39 minutes ago).
- Click Refresh Data.

While the refresh runs, you’ll see a Sync in progress message and the Refresh Data button will be disabled.

Once complete, the status updates (for example, Last synced just now or Last synced {x} minutes ago).
Refresh Status Messages
Report Studio displays a status message so you always know whether your data is current or a refresh is running.
No refresh in progress
- Message: Last synced {x} hours ago
Manual refresh in progress (started by someone else)
- Message: Sync in progress, started by {name of user who started sync}
- What this means: Another user in your company already kicked off a refresh, so you don’t need to run it again.
Automated refresh in progress
- Message: Sync in progress, started automatically
You started a manual refresh
- Message: Sync in progress
Manual refresh complete
- Message: Last synced now
FAQs & Troubleshooting
I don’t see the Refresh Data button. Why?
- Your organization may not have manual refresh enabled: Reach out to support@clicktime.com for assistance.
- Your role/access may be limited: The button appears for Admins and Managers who have access to Report Studio.
Why is the Refresh Data button disabled?
- A refresh is already running: If another user in your company already started a refresh, or if an automated refresh is currently in progress, the button is disabled to prevent duplicate refresh requests.
- System availability: If replication is down, the refresh button will be disabled.
Heads up: Only one refresh can run at a time for your company. If you see a message indicating a refresh is in progress, wait a few minutes and check the status again.
What if two users click Refresh at the same time?
Report Studio prevents duplicate refresh jobs from being started for the same company. If a refresh is already in progress, the second user will see a message indicating a refresh is running.
How long does a manual refresh take?
Under normal conditions, a refresh completes within a few minutes. If you believe your refresh is taking longer than expected, please reach out to support@clicktime.com.
What if my refresh fails?
If a refresh fails, try again after a few minutes. If it continues to fail, please contact ClickTime Support at support@clicktime.com so we can investigate.
Nightly Refresh
Even with manual refresh available, Report Studio data is still refreshed nightly. This means that reports generated today will reflect data up through the previous day.
Nightly refresh times: We currently support nightly refreshes at 4:00 PM PST, 8:00 PM PST, and 2:00 AM PST. Your organization is automatically assigned the refresh time that best aligns with your primary time zone. If a different refresh time would better suit your reporting needs, you can request a change by contacting the ClickTime Support Team (support@clicktime.com).
