Project Reports in ClickTime — A quick hub for reports that start with the Project lens. Each card shows what the report does, when to use it, common filters, exports, and a sample screenshot.
Scope: Standard (built-in) reports only. Report Studio dashboards aren’t covered here. Screenshots are examples; your columns may vary by permissions and settings.

Summary by Project Report
What it shows: Cumulative hours for selected projects, summarized at the project level.
When to use: Quick overview of where time is going by project without person/task detail.
Common filters: Date Range, Project(s), Client(s), Billable/Non-Billable.
Exports: CSV, PDF.
Time Allocation by Person
What it shows: Percentage and hours each person spent on a selected project.
When to use: Compare individual contribution and utilization on a single project.
Common filters: Date Range, Project, Person(s), Client.
Exports: CSV, PDF • Notes: Logo supported on PDF.
Detail By Person
What it shows: Entry-level detail for a project: person, task, notes, and hours.
When to use: Auditing, troubleshooting, or exporting line items for analysis.
Common filters: Date Range, Project, Person, Task, Approval Status, Billable/Non-Billable.
Exports: CSV • Notes: Include/exclude returned/rejected via status filter.
Person and Task Summary
What it shows: Hours (and if configured, amounts) by person for a project, summarized by task.
When to use: See who did which tasks and the billable mix on the project.
Common filters: Date Range, Project, Person(s), Task(s), Billable/Non-Billable.
Exports: CSV, PDF • Notes: Amounts require billing rates.
Project, Person and Task Summary with Costs
What it shows: Hours, billing amounts, and costs by person/task for the project.
When to use: Margin checks with both revenue and cost context on a project.
Common filters: Date Range, Project, Person(s), Task(s), Billable/Non-Billable.
Exports: CSV, PDF • Notes: Requires cost rates and billing rates.
Task Summary
What it shows: Cumulative hours by task across selected project(s).
When to use: Assess task mix and focus areas at a glance.
Common filters: Date Range, Project(s), Task(s), Client(s), Billable/Non-Billable.
Exports: CSV, PDF.
Billing Detail By Person
What it shows: Billable hours and rates by person for the selected project(s).
When to use: Reconcile billable time by individual before invoicing a project.
Common filters: Date Range, Project(s), Person(s), Billable Only.
Exports: CSV, PDF.
Profitability Summary
What it shows: Hours, estimated costs, billing amounts, and profit for selected project(s).
When to use: Check project margins over a defined period.
Common filters: Date Range, Project(s), Client(s), Billable Only.
Exports: CSV, PDF • Notes: Requires cost and billing rates.
Client and Project Summary with Comments
What it shows: Project summary with client context and access to entry comments.
When to use: Roll-up totals plus narrative notes for approvals or PM reviews.
Common filters: Date Range, Project(s), Client(s), Billable/Non-Billable.
Exports: CSV, PDF.
Division Summary by Week (Excel)
What it shows: Weekly hours for selected project(s), broken down by division.
When to use: Week-over-week staffing and capacity views by division.
Common filters: Date Range, Project(s), Division(s), Person(s).
Exports: Excel.
Summary & next steps
Project-centric reports answer project-first questions: which projects used the most time, who worked on them, how the task mix looks, and whether billables and margins are on track. Use summaries for quick roll-ups; switch to detail and “with Costs/Comments” variants when you need depth.
Pro tips
- Dates first: Most gaps come from date filters.
- Amounts need rates: Configure billing (and cost) rates to populate amount/profit columns.
- Invoice prep: Use Billing Detail By Person; filter to Billable Only.
- Audit trail: Use Detail By Person or any report “with Comments.”
- Exports: CSV for analysis; PDF for sharing; Excel where noted.
