Managers can review submitted timesheets before approving or rejecting time. In this guide, you’ll learn how to find your team’s timesheets, review submitted hours, and understand what to look for before taking action.
Before You Begin
Before reviewing team timesheets, make sure:
- You’re logged in to ClickTime.
- You have manager or approver permissions for your team.
- Your team members have submitted time for the period you want to review.
The timesheets you see may depend on your organization’s settings and your approval permissions.
Step 1: Open the Approval Dashboard
From the Company area, open the Dashboard. The Approval Dashboard shows timesheets that may need your review.
The Approval Inbox is part of the Dashboard and shows submitted timesheets, time off requests, and approval actions available to you.
Step 2: Go to Timesheet Review
From the Company area, click Timesheets in the navigation bar, then open Timesheet Review.
The Timesheet Review page lets you view submitted timesheets, check hours, and see each timesheet’s current status.
Step 3: Find Timesheets Waiting for Approval
Use the filters to narrow the list of timesheets. For a basic review workflow, start by filtering for timesheets with a status of Waiting for approval.
You can also adjust the time period if you need to review a specific week, month, or date range.
Step 4: Review the Timesheet List
In the timesheet list, check the employee name, timesheet period, total hours, completion status, and timesheet status.
Before opening a timesheet, look for:
- Timesheets marked Waiting for approval
- Total hours that look incomplete or unexpected
- Timesheets marked incomplete
- Employees who may need follow-up before approval
Step 5: Open a Timesheet
Select a timesheet to review the entries in more detail. This lets you see how time was entered across clients, projects, tasks, and days.
Review the entries carefully before approving or rejecting the timesheet.
What to Look For
When reviewing a timesheet, check for:
- Correct total hours for the timesheet period
- Time entered against the correct clients, projects, and tasks
- Missing or incomplete days
- Required notes or comments, if your organization uses them
- Anything that looks unusual or needs clarification
