Day View is where you enter time one day at a time. Add hours directly, use Start & End Times, track in real time with the Stopwatch, and (optionally) use Quick Day to copy yesterday’s rows. This page is ideal if you work on many tasks during the day or your organization requires precise daily tracking.
Quick Navigation
Navigating to Day View
- Log in to ClickTime.
- Select Day View from the navigation.
- Managers/Admins entering their own time: Personal → Day View.
Navigating Between Days
- Go to Today — Jump back to the current date (shown if you’ve navigated away).
- Date Arrows — Move one day at a time.
- Calendar Picker — Click the date to select any day in the period.
- Week Ribbon — Click another day in the current week.
- Quick Day — Copy yesterday’s rows into today (see below).
Adding Time
You can add time to Day View in several ways:
Method 1: +Add Time Entries
- Click +Add Time Entries.
- Select Client → Project → Task
- Adjust column widths by dragging edges if text is truncated.
- Complete any Custom Fields (e.g., Location). Some may be required.
- Enter hours directly or use Start/End Times or the Stopwatch.
If a row or cell is locked, hover the lock icon to see why (e.g., closed period, submitted/approved timesheet, approved Time Off, stopwatch state, access removed).
Method 2: Start & End Times
- Select a Start and End time; hours calculate automatically.
- If enabled, enter Break Time (duration in minutes or hours).
Breaks can be used two ways:
- Inline break — Deducted from the worked span on the same row.
- Separate “Break” project/task — Records an unpaid break as a zero-hour entry for compliance.
Admin note: If zero-hour break entries don’t save in your account, contact ClickTime Support to enable this behavior.
If Start/End Times are required: Week View is hidden, Start/End are locked on, and additional options (Breaks, stopwatch rules) may be enforced.
For a deeper dive into Start and End time use, see our article here.
Method 3: Stopwatch
- Select Client → Project → Task (recommended before starting the timer).
- Click the Stopwatch icon to start; click Stop to record the elapsed time (respecting rounding).
- Restarting: You cannot restart the same stopwatch on the same row. To continue, click Start on a new row.
- Only one stopwatch can run at a time — stop/resolve it before starting another.
- Stopwatches track time for today and keep running if you navigate away or log out; they auto-stop at 12:00 AM PT.
- Abandoned (auto-stopped) timers show a red icon; resolve them before submitting.
Global Stopwatch Badge: If you navigate away from Day View while a timer is running, a stopwatch badge appears in the top-right of ClickTime. Click it to see elapsed time and jump back to the running entry.
For a deeper dive into ClickTime's stopwatch, see our article here.
Method 4: Quick Day
Note: Administrators can disable the Quick Day action using the Hide Quick Day / Quick Week setting in Company > Preferences > Time Entry Controls.
- Click Quick Day.
- Choose Copy Notes or Do Not Copy Notes, then confirm.
- Review and adjust the copied rows
Once copied, all rows remain editable. You can review and implement any changes that are needed.
Quick Day is disabled in Stopwatch-only mode.
Delete an Entry
To delete a row, click the trash can icon next to that row.
Notes
- Every entry can include a note (field next to the hours cell).
- Notes persist on the row after save for easy reference.
- If notes are required, missing notes are highlighted in red and must be added before save.
Saving & Submitting
- Auto-Save — Day View attempts to save when you leave the hours cell. Hours must be filled in for any row to successfully save.
- Save — A manual Save button is also available (top-right).
- Submit for Approval — Submit the period from Timesheet View (all models) or from Week View for all timesheet models other than "Custom". Please note, your time entry requirements from your Admin may hide Week View. In this case, use Timesheet View.
Organization-Specific Rules
-
Incomplete Timesheets
- Progress banners show missing daily/weekly hours (e.g., “You have completed 7.0 of 8.0 required hours for this day.”).
- If configured to block, Submit is disabled until complete.
-
Start/End Required
- Week View is hidden; Start/End are locked on.
- Admins may allow Break Time and enforce stopwatch restrictions.
-
Stopwatch Rules
- Restarting the same stopwatch is not supported; start a new row to continue.
- Stopwatch-only disables manual entry and hides Week View; Start/End/Break show read-only.
-
Overlap Warnings
- When enabled, overlapping Start/End entries are highlighted with: “The highlighted time entries have overlapping start / end times.”
- Overlaps are allowed but flagged for review.
Day View Options Menu
The Options menu (top-right) customizes the page:
- Auto Fill — Pre-fills rows with recently used Client/Project/Tasks (looks back up to 7 days, and up to 28 if none). Custom Field values may also appear. Deleting a blank pre-filled row won’t stop it from reappearing later—leave it blank. Note: Auto Fill doesn’t “learn” from deleting a blank row; leave it blank to prevent hours being added.
- Show Weekends — Adds Saturday/Sunday to the week ribbon (toggle is shared with Week View). Even if weekends are hidden, you can still enter time for “Today” when you log in on a weekend.
- Show Stopwatch — Show/hide the stopwatch icon (stop any running timer first). May be locked by admin.
- Show Start/End Times — Show/hide fields. Locked on if required.
- Show Break Times — Adds Break column (available only when Start/End are shown and breaks are allowed).
- Warn When Start/End Times Overlap — Toggle overlap warnings.
Entering Time Off
If enabled, you’ll see a Time Off section on Day View.
- Click +Add Time Off Entry and choose a Leave Type.
- Enter the hours to apply for that day.
Please note, this is only available for Leave Types set to Approval not Required. If you do not see the Leave Type you are looking for, reach out to your Administrator for guidance.
Day View Widgets
Depending on configuration, you may see:
Timesheets
- Shows the current timesheet period and its status (Open, Waiting for Approval, Approved).
- Progress indicator shows where you are in the approval cycle.
- The current period is tagged Current.
- Click the date range to jump to another timesheet period; the main page updates behind the pop-up.
Time Off
- Displays balances for available leave types (when enabled).
- Includes a link to the full Time Off request page.
Billing Goal
- Shows progress toward monthly billable goals (Resource Management required).
Assignments
Available only if Resource Management is enabled.
- Shows your Active vs. Completed assignments for the selected month.
- Hover to compare hours worked vs. hours assigned.
Note: If planned allocations are hidden on time entry pages (Company → Preferences → Project Estimation), the Assignments widget will not appear.
Troubleshooting
- Fields in red — Required information is missing (e.g., notes, task, Start/End). Complete the row and save.
- Red banner on save — You’ll see “Your entries cannot be saved until the fields in red are fixed below.” Add the missing details (e.g., required notes or task) and save again.
- Locked row/cell — Hover the lock to see why (closed period, submitted/approved, Time Off waiting for approval, stopwatch state, access to Client/Project/Task has changed).
- Abandoned stopwatch — Resolve the red icon: confirm the stop time or change it, then Save.
- Can’t restart a stopwatch — Restarting the same stopwatch isn’t supported. Start a new row to continue.
- Week View missing — Hidden when Start/End is required or in stopwatch-only mode.
