The Time Entry Activity view provides a heatmap visualization of user activity related to time entry across a selected date range. This view helps administrators identify trends, consistency, and gaps in time entry behavior by showing when users create, edit, delete, or interact with their timesheets.

How to Access Time Entry Activity
To access the Time Entry Activity view:
- Navigate to Company → Timesheets
- Select Time Entry Completion
- Click the Time Entry Activity tab in the top-left corner

Understanding the Heatmap
The Time Entry Activity view displays user activity in a grid format:
- Each row represents a user
- Each column represents a day
The heatmap tracks the following activity within ClickTime:
- Creation of time entries
- Modification of time entries
- Deletion of time entries
- Login activity
Color Indicators
Each cell is shaded based on the level of activity detected for that user on that day:
- Darker green – Higher activity, such as multiple edits or consistent time entry
- Lighter green – Minimal activity
- White (empty) – No detected activity
Additional Indicators
The heatmap also includes visual indicators to provide additional context:
- Diagonal hash pattern – Indicates that Time Off is recorded for that date
- Vertical dotted lines – Indicate the start of a new timesheet period, based on your account settings
Filters
Use the filters in the upper-left corner to refine the data being displayed:
- People – View activity for specific individuals
- Approvers – Filter by users with approval responsibilities
- Average Activity Level – Focus on users above or below a selected engagement threshold
These filters function similarly to those in the Incomplete Time Entry and Time Entry Completion view.
Adjusting the Date Range
The date filters work the same way as those in the Time Entry Completion view. You can:
- Select a predefined range (for example, Last 30 Days)
- Choose custom start and end dates
The heatmap automatically updates to reflect activity within the selected range.
Exporting Data
To download the current view, click the Export icon in the top-right corner of the page.
You can export the data in the following formats:
- Excel (.xlsx)
- CSV (.csv)
The exported file reflects the current filters and date range applied to the view.
Permissions & Access Notes
The Time Entry Activity view is available to all administrators and to managers who have the Review Timesheets permission enabled.
This setting can be found under Security & Permissions. Managers must have at least the minimum Review Timesheets setting enabled in order to access this view.
